The information we collect

When you get in touch with us — whether to ask a question, request a brochure, or book our services — we may collect:

  • Your name, address (current and new), email address, and phone number

  • Details about your move: property information, timelines, and preferences

  • Information you choose to share with us about your circumstances, so we can provide the right support

  • Details of people you’d like us to liaise with on your behalf — solicitors, family members, or other professionals

If you provide services to us — as a contractor, supplier, or partner — we may also collect your business details, contact information, payment details, insurance information, and relevant qualifications.

If a professional referrer (such as a solicitor, GP, or estate agent) puts us in touch with you, we’ll also hold the information they share with us, so we can follow up appropriately.

Sensitive information

Occasionally, understanding your situation properly means knowing about health conditions or other sensitive details — for example, if mobility needs affect how we plan a move. We’ll only ever ask for this with your clear consent, and we’ll explain why we need it and how we’ll use it.

How we use your information

We use your information to:

  • Provide the services you’ve asked us for, and manage our relationship with you

  • Respond to enquiries and provide quotes

  • Keep accurate records of our work together

  • Meet our legal and accounting obligations

  • Improve how we work and communicate with clients

Our legal basis for this is usually that it’s necessary to deliver a contract with you, to meet a legal obligation, or because we have a legitimate business interest in following up enquiries and running our business well.

If we ever want to use your information for something new, we’ll let you know first — and ask for your consent if needed.

Cookies and our website

Our website uses cookies to help it run smoothly and to understand how visitors use it. You’ll be asked to accept cookies when you first visit, and you can manage your preferences at any time. We use Wix as our website platform and Google Analytics to understand site traffic — both have their own privacy safeguards in place.

Who we share information with

We never sell your data, and we keep things confidential. We may share information with:

  • Trusted professionals working with us to deliver your move — always people we know personally

  • Our administrative, accounting, IT, and insurance providers, who are bound to keep your information confidential and use it only to help us serve you

  • Anyone you’ve asked us to liaise with, such as a solicitor, family member, or representative

  • Authorities, where we’re legally required to — for example, to prevent or investigate unlawful activity

  • A potential buyer of our business, should that situation ever arise, under appropriate confidentiality terms

How long we keep your information

We keep your information only as long as we need it to provide our service and meet our obligations. UK law requires us to keep basic transaction and financial records for six years after our work together ends.

Where your information is stored

Your information is stored securely using GDPR-compliant platforms and tools, with password protection and access limited to those who need it to do their job.

Children

Marigold Moves doesn’t knowingly collect personal data from anyone under 16.

Your rights

Under UK GDPR, you have the right to:

  • Access the information we hold about you

  • Have inaccurate information corrected

  • Ask us to delete your information

  • Restrict or object to how we use it

  • Receive your information in a portable format

  • Withdraw consent, where consent is our basis for using it

To exercise any of these rights, just email us at kellygaddes@marigoldmoves.co.uk.

You can find out more about your rights at ico.org.uk.
